1. Introduction

Welcome to White City Limassol Aparthotel (“the Property”, “we”, “our”, “us”).
By making a reservation, checking in, or staying with us, you (“the Guest”, “you”) agree to comply with these Terms & Conditions (“the Terms”).
Please read them carefully before completing your reservation, as they form a legally binding agreement between you and the Property.

2. Reservations and Payments

• Reservations are subject to availability and confirmation by the Property.
  
• For direct bookings, full payment is required no later than 48 hours prior to arrival.
  
• Reservations made through third-party platforms (e.g., Booking.com, Expedia) are governed by those platforms’ terms in addition to these Terms.
  
• We accept major credit and debit cards, as well as wire transfers (funds must clear at least 48 hours prior to arrival).
  
• Prices include VAT and applicable taxes unless otherwise stated.
  
  

3. Cancellation and No-Show Policy

• Free cancellation is available up to 72 hours before check-in (applies to direct bookings only).
  
• Cancellations made less than 72 hours before check-in will incur a cancellation fee equal to 100% of the reservation amount.
  
• No-shows will be charged the full amount of the booking.
• For bookings made under a non-refundable rate, no refunds will be provided in the event of cancellation, modification, or no-show.
• Any refund or credit may be granted solely at the hotel’s discretion and on an exceptional basis. The hotel reserves the right to assess each request individually, and any such decision shall not constitute an obligation to provide a refund in similar circumstances.
• Refunds, where applicable, will be processed within a reasonable timeframe using the original payment method.
  
• In accordance with EU consumer law, if we cancel a confirmed reservation, the Guest is entitled to a full refund of any pre-paid amounts.
  
  

4. Check-In and Check-Out

• Check-in: from 15:00 (3:00 PM).
  
• Check-out: by 11:00 AM.
  
• Early check-in or late check-out may be offered subject to availability and additional charges.
  
• Guests must present a valid photo ID and credit/debit card matching the reservation name upon check-in.
  
  

5. Accommodation and Property Use

• Guests are responsible for maintaining the accommodation’s condition and for any damage, loss, or excessive cleaning required as a result of their stay.

• Smoking is strictly prohibited inside all rooms and indoor areas. A cleaning charge of up to €250 may apply for violations.

• Pets are allowed only upon prior written confirmation by the Property and are limited to a maximum weight of 10 kg. The Property does not provide any pet-related equipment, guests must bring their own. Pet owners are fully responsible for any damage caused by their pets. The Property reserves the right to charge such damages against the Guest’s deposit or payment method on file.

• The Property reserves the right to enter rooms when reasonably necessary for maintenance, safety, or regulatory purposes.

• The Property reserves the right to charge the Guest’s payment method on file for any damages, missing items, smoking violations, or other charges discovered after check-out, provided reasonable evidence of such charges exists.

6. Guest Conduct

• Guests must conduct themselves respectfully toward staff and other guests, and comply with all posted safety and property rules.
  
• Any disruptive, illegal, or unsafe behavior may result in immediate termination of the stay without refund.
  
• The Property accommodates guests aged 14 and above only. Guests under the age of 14 are not permitted to stay. 
• Reception operating hours are between 09:00 and 18:00. Reception may not be continuously staffed during these hours.
• Guests acknowledge that the Property operates primarily through digital communication channels, including the BOOM platform and Guest Portal.
• The Property does not guarantee immediate responses to requests submitted outside reception hours and shall not be liable for any inconvenience, loss, delay, or damages arising from communication delays or the temporary unavailability of reception staff.

7. Liability and Disclaimer

• The Property shall not be liable for any loss, theft, or damage to personal belongings left unattended on the premises.
  
• Safety deposit boxes are provided for guests’ convenience. Guests remain solely responsible for safeguarding money, valuables, documents, electronic devices, and personal property.
  
• The Property does not provide medical services, healthcare personnel, nursing services, or emergency medical assistance on-site.
• Reception is not staffed on a continuous basis and no employee or representative of the Property is qualified to provide medical advice, diagnosis, treatment, or emergency response.
• In the event of a medical emergency, guests must immediately contact the relevant emergency services. In Cyprus, emergency assistance can be reached by calling 112 or 199.
• Guests are responsible for their personal safety and compliance with property policies at all times.
  
• The Property shall not be liable for any injury, illness, medical condition, deterioration of health, delay in obtaining medical treatment, or consequences arising from a Guest’s failure to seek appropriate medical assistance.
• Nothing in these Terms shall exclude or limit any liability that cannot be excluded or limited under applicable law.
  
• Vehicles parked on the Property are left entirely at the owner’s risk. The Property accepts no responsibility for theft, damage, vandalism, or loss relating to vehicles or items left inside vehicles. 
• The Property shall make reasonable efforts to maintain all facilities and equipment in working order. Temporary interruptions, maintenance works, technical malfunctions, or service outages shall not give rise to liability or compensation except where required by applicable law. 

8. Data Protection & Privacy

• Your privacy is important to us. Personal data collected during reservations or stays is processed in accordance with our Privacy Notice and the EU General Data Protection Regulation (GDPR).
  By making a booking, you acknowledge that you have read and understood our Privacy Notice.
• Marketing consent:
  By ticking the relevant box or otherwise providing consent, you agree to receive promotional materials, newsletters, and marketing communications from White City Limassol and\ or ICY Management Ltd via email or other electronic means.
  You may withdraw your consent at any time by using the “unsubscribe” link in our communications or by contacting us directly.

9. Security and CCTV

• For the safety and security of guests, staff, and property, CCTV surveillance is in operation in public and common areas.
  Recordings are retained for a limited period and processed in compliance with the EU GDPR and Cyprus Law 125(I)/2018.
  Cameras are not installed in private areas (such as rooms or restrooms).
• Wi-Fi is provided as a convenience only. The Property does not guarantee uninterrupted, secure, or error-free internet access and shall not be liable for any loss resulting from service interruptions, connectivity issues, or cybersecurity incidents beyond its reasonable control.

10. Common Areas

• Guests are required to use all shared facilities and common areas responsibly, safely, and in accordance with the posted rules and instructions of the Property.
  The Property shall not be liable for any injury, loss, or damage arising from the Guest’s own negligence, misuse, or failure to comply with safety instructions or posted guidelines.
• Any damage, loss, or excessive cleaning caused by a Guest, whether deliberate or accidental, to the Property or its common areas shall be charged to the Guest’s account, and the Property reserves the right to recover the full cost of repair or replacement.
• The swimming pool, fitness room, and any recreational facilities are used entirely at the Guest’s own risk.
• No lifeguard, fitness instructor, trainer, or medical personnel are present on-site.
• Guests are responsible for determining whether they are physically fit to use such facilities and for complying with all posted rules and safety instructions.
• To the fullest extent permitted by law, the Property shall not be liable for injuries, accidents, health incidents, or damages arising from the use of these facilities, except where such liability cannot be excluded by applicable law.

11. Force Majeure

• The Property shall not be liable for any failure or delay in performance of its obligations caused by circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, fire, flood, war, government actions, strikes,utility failures, internet outages, water supply interruptions, electricity outages or pandemics.
  In such cases, reservations may be modified, postponed, or cancelled without liability.

12. Governing Law and Jurisdiction

• These Terms & Conditions are governed by and construed in accordance with the laws of the Republic of Cyprus.
• To the extent permitted by applicable law, any dispute arising from or relating to these Terms shall be subject to the jurisdiction of the courts of Cyprus.

13. Changes to These Terms

• We reserve the right to update or modify these Terms & Conditions at any time without prior notice.
  The latest version will always be available on our website and will apply to all bookings made after its publication date.
• Guests must comply with the Property’s House Rules, available at reception or on our website. Violation of these rules may result in termination of stay without refund.
